How to book meetings with other people, coordinate availability, and send calendar invitations.

Booking Meetings

Ask your AI employee to schedule a meeting with someone and it will handle the coordination. Provide the person's name or email, the purpose of the meeting, and your preferred time or date range. The AI checks your calendar for availability, suggests possible times, and can send an email invitation to the other person. If you have their scheduling preferences in your CRM, the AI will factor those in.

Schedule a 30-minute call with James Park sometime next week. He prefers mornings.
Sarudo responds:
Looking at your calendar next week, you have mornings open on Tuesday, Wednesday, and Thursday. Since James prefers mornings, I'd suggest Tuesday at 10 AM or Wednesday at 9:30 AM. Would you like me to email James with these options, or should I pick one and send the invite directly?

Coordinating Availability

For meetings with multiple people, the AI can help find a time that works for everyone. Provide the list of attendees and the AI will check your calendar and suggest times with the fewest conflicts. While the AI cannot directly access other people's calendars, it can send availability inquiry emails and track responses. For internal team meetings where you know everyone's schedule, you can share that context and the AI will find the optimal slot.

Sending Calendar Invitations

Once a meeting time is confirmed, your AI employee can send professional email invitations with all the details — date, time, duration, location or video call link, and an agenda. The invitation follows the standard email approval flow, so you review it before it goes out. After sending, the AI adds the event to your calendar and sets up appropriate reminders.

Include an agenda or meeting purpose in your scheduling request. The AI will include it in the invitation, helping attendees prepare.

Rescheduling & Cancellations

If you need to reschedule or cancel a meeting with others, tell your AI employee and it will handle the communication. It will send a professional rescheduling email with proposed new times, or a cancellation notice with an apology if needed. The AI updates your calendar automatically and can help find a new time that works for everyone involved.
